Using a Webex Board or Room Kit for Microsoft Teams

Overview

All County Microsoft Teams accounts will have the ability to initiate, or join a Teams call. To enter a call located in a conference room, follow the below instructions using the Webex Board.

Instructions 

Note: Conference rooms must be invited to calendar invites for the Webex Board to acknowledge an upcoming meeting. This is the same process as booking a conference room currently.
Joining Process:

1. A pop-up will appear on the screen five minutes prior to the meeting, asking to join the call.
        a. Select “Join”.

2. The screen will change to a black screen. At this point, the call is not connected to other meeting participants.

3. Users will then see the Microsoft Teams logo appear as the board begins connecting.

4. The logo will disappear, and the screen will be white for a short few moments.

5. The screen will say “Connecting” as it begins joining the virtual space.

6. Users will see "When the meeting starts, we'll let the people know you're waiting", indicating that the meeting is ready to merge with other participants in the virtual space.
          a. If you are hosting the call the screen will read, “If you’re the organizer or the invite came from your work or school, please sign in.”
                      i. Note: Pasco County users will automatically be signed in.

7. If a user is the host of the meeting, they will elect to start the meeting and will then be prompted with a pop-up that the “(device name here) is waiting in the lobby”, as shown below.
               a. Select “Admit”.
               b. If a user is not the host, they may need to send a message to the host asking to accept them into the virtual space. Once accepted, they will see participants populate on the                           screen.

8. If the user is on a Webex Board they can tap on the Pointing Finger button, located in the lower left corner of the screen, and the MS Teams controls will appear for further functionality.

9. If a user taps on the ellipses (three dots) they can choose “Large Gallery (Preview)” to put all participants on the screen together. They can also utilize the chat box function.

10. Users can also use the Webex buttons at the bottom of the screen to select Mute/Unmute, Volume Control, or Camera On/Off.

11. This will work the same for a Webex Room Kit (camera + TV) the meeting invite will pop-up 5 minutes prior to the meeting start but you will NOT have meeting control like you do on the Webex Board.
